- What does Hill Country Consultants do?
- We handle the operational and administrative side of a business — admin, documentation, compliance, project coordination, marketing, publishing, media, digital, events, training, and specialty work in agriculture and grants. One firm, one monthly fee for your plan's allotments — with work beyond your plan (overages, rush, separately quoted projects, and hard costs) always agreed in writing first.
- Are you a virtual assistant company or a consulting firm?
- Both, deliberately. A pure VA handles admin tasks. An agency handles one domain. We cover the whole operation and show up in person when it matters.
- What does hybrid mean?
- On-site when the moment calls for it — a walkthrough, an event, a kickoff — and virtual the rest of the time.
- What are your hours?
- All times Eastern. Monday and Friday, 9:00 AM to 5:00 PM. Tuesday and Thursday, 11:00 AM to 7:00 PM. Closed Wednesday and Sunday. Saturday by preapproved appointment. Requests received outside business hours or on a closed day are reviewed the next business day.
- How do I book — do I have to talk to someone first?
- No. If you know what you need, book it and pay on the Book & Pay page at the published rate. If you are not sure, take the free 30-minute session first. Scoped work is always quoted in writing before it begins.
- How much does it cost?
- Foundation $1,500/mo, Momentum $4,250/mo, Enterprise $7,000/mo. Each plan is one monthly fee covering the service allotments included in that tier — every service line is available; your tier sets the volume. Work beyond your allotment is quoted in writing first. Individual services are also available à la carte.
- Do I have to sign a long contract?
- Plans run a standard 12-month term.
- Can I buy just one thing?
- Yes. À la carte rates are published and paid in full at booking. Larger custom projects are scoped and quoted in writing before any payment.
- How do I pay?
- We accept various forms of electronic payment through the Stripe secure payment system. Plan fees are billed monthly, or you can pay the year up front and save one month. Paid monthly over 12 months that's $18,000/yr Foundation, $51,000/yr Momentum, $84,000/yr Enterprise; paid up front for the year it's $16,500 / $46,750 / $77,000 — the up-front discount equals one month's fee ($1,500 / $4,250 / $7,000). A five business-day grace period applies to monthly fees.
- What if I need more than my plan includes?
- Anything beyond your allotment is quoted in writing first. Extra submittal packages beyond your allotment are a flat $450/week covering any number of additional packages that week. Rush is a $550 surcharge added on top of a package price and is never included in any plan.
- How fast is turnaround?
- Turnaround depends on the service — a marketing graphic or a small administrative task turns around quickly, while a construction submittal, a website, a book, or grant work is scoped and quoted per project. Your plan tier sets your priority in the queue: standard at Foundation, priority in queue at Momentum, and priority on everything at Enterprise. Each service page gives the turnaround detail for that work, and anything on a deadline can be flagged as rush. We agree the timeline in writing before work begins.
- Do I get one person or a rotating team?
- A dedicated account lead on every plan. One point of contact.
- What happens to my logins?
- Collected securely through a password manager during week-one onboarding, and returned with all assets if you offboard.
- Do you handle legal or accounting work?
- No. We prepare and organize documents. Legal wording is flagged to your attorney and never altered by us. We are not a substitute for licensed bookkeeping, legal, or tax services.
- Do you stamp engineering or certify submittals?
- No. We prepare packages; your general contractor or contractor of record reviews and signs.
- Can you work with my industry if it isn't listed?
- Yes. The industries listed are where we bring the deepest working knowledge. The four pillars apply anywhere.
- What happens on the strategy session?
- Thirty minutes, free. We map what you need, identify what hurts most today, and recommend a plan or scope. No obligation.
- What happens after I sign?
- Kickoff call in week one to confirm goals and a 30-day roadmap, secure credential handoff, then your shared task board, communication channels, and file structure get set up.
- What happens after I book a standalone project?
- You pay in full at booking. Your booking is acknowledged the same business day, and scope and next steps are confirmed within two business days. Your client portal opens, we schedule any consult the scope calls for, and the deliverable enters your task board so you can watch it move from requested to delivered.
- How many revisions do I get?
- Each scope states its included revisions in writing before you pay. Most standalone deliverables include a defined round of revisions; additional rounds beyond that are quoted first.
- How will I know what you're working on?
- Your client portal shows a live task board, a work log with hours by service line, and a report every Friday covering what we delivered, what's in flight, and what's next — so there's never a status meeting just to find out where things stand.
- How do we communicate day to day?
- Two-way messaging lives in your portal, and you can reach us by email or phone during business hours. Requests are acknowledged the same business day.
- Is my information confidential?
- Yes. Your information and credentials are protected and never shared without permission. Public-facing samples of our work are always shown redacted — no confidential client information is ever displayed.
- What's your refund policy?
- All sales are final and you accept the Terms and Refund policy at checkout. If something isn't right, contact us first — the signed scope and the delivery record are how we make it right. See the Refund & Cancellation policy for the full terms.
- What is an allotment?
- On a monthly plan, your tier sets how much of each service you get per month — your allotment. Every service line is available in every plan; the tier sets the volume, not which services you're allowed to use. Work beyond your allotment is quoted in writing first. Unused allotment does not roll over — including virtual-assistant hours — so each month starts fresh.
- What's the difference between a plan and a standalone service?
- A plan is a monthly agreement that gives you ongoing access across every service line at your tier's included volume, coordinated by one account lead. A standalone service is a single item you buy on its own — at its published fixed rate, or by written quote when the scope is larger — without a plan. You can start with standalone work and move to a plan anytime.
- What does the 12-month term mean?
- A plan is a 12-month agreement. You can pay monthly across the term or pay the full year up front and save one month. The term renews at the end of the 12 months unless your contract says otherwise; you cancel per your contract, and fees already paid for the current term are not refunded.
- What's the difference between my allotment, an overage, a standalone service, and a quoted project?
- Your allotment is what your monthly plan fee already covers. An overage is more of a plan service than your tier includes in a month — for example extra VA hours ($55/$50/$40 by tier) or extra submittal packages ($450/week) — billed on top and, for most lines, quoted in writing first. A standalone service is an à la carte item bought without a plan, at the published rate, paid in full at booking. A quoted project is scoped, custom work (a website, a book, a brand system, an event) that we price in a written quote before any payment. Rush is never a plan item — it's a $550 surcharge added on top of a package.
- What software or tools do you use?
- We work in your existing tools wherever possible and set up a shared portal, task board, and file structure for you. Credentials are handled through a password manager, never kept in plain text.
